Who handles your data
SameFormat is operated by Ninghao Wang, an independent developer. This policy covers the website and Excel translation workspace. For privacy questions and requests, contact [support email pending].
What we collect and why
The public website is open. Account registration and file uploads are currently closed. When the workspace opens, we will use your email and account identifier to sign you in and manage access. We will process workbooks, language choices, job status and usage records to deliver translations and downloads and track plan allowances. Service and security records may include IP addresses, timestamps and errors. We use these records to protect the service and troubleshoot problems. If you contact us, we use your message and contact details to respond.
How your quotation is translated
When you submit a workbook, our service reads it and sends text selected for translation and any context needed for that translation to DeepSeek. Selected text or context can contain product specifications, commercial terms or personal information. We put the results back into a downloadable .xlsx file. Before uploading, remove information the translation does not need and make sure you have permission to share the file for processing.
Billing
Paid subscriptions are currently closed. For future purchases made through Creem, Creem will act as the merchant of record. Creem and its payment partners will handle full payment details. SameFormat will use order information such as your account email, transaction reference and subscription status to activate your plan and provide support.
Providers and international processing
DigitalOcean hosts the application server in Singapore. Cloudflare delivers and protects the public website and may process web request information. The planned workspace uses Supabase Auth for sign-in and private storage on the DigitalOcean server for workbooks. DeepSeek will process selected text and necessary context. Creem is planned for checkout and billing. Providers may process data outside Singapore or your country of residence. Provider data-use and retention details are still being confirmed for the workspace launch.
File storage and retention
The planned download periods for original and translated workbooks are 30 days on Starter, 60 days on Standard and 90 days on Pro. The start of the retention period and the expiry and deletion process will be confirmed before file uploads open. System backups will not extend the download period.
System backups and application logs
The proposed launch settings are 7 days for daily database backups, 4 weeks for weekly server backups if enabled, and up to 30 days for routine application logs. These settings are pending verification and are separate from account and billing record retention. A specific record may be kept longer where necessary to investigate a security incident or meet a legal obligation.
Browser storage and analytics
The website uses browser storage to remember your language and display currency. Some use-case pages record page views and link clicks locally in the browser. Cloudflare may include its Web Analytics script on public pages. The production analytics configuration and collection are still being verified.
Your choices and rights
Depending on applicable law, you may request access to, correction or deletion of your personal data, obtain a copy, or object to or restrict certain uses. You may also have a right to complain to your local data protection authority. Contact us using the address above. We may verify your identity before acting on a request.
